An internal audit team asks a seemingly simple question: why was a supplier's access extended, eight months earlier? Nobody disputes the extension. What is missing is the basis for the decision.
The file still exists, the context is gone
The contract is still in the ERP system. The decision note sits in document management. The access logs exist somewhere in the permissions system. Each of these pieces survived on its own, with its own version and its own date. What's gone is the link between them: which risk assessment applied that day, which policy still allowed that kind of extension, who had the authority to sign it.
Looking at today's state is a tempting mistake
Eight months later, almost everything has changed: a new risk assessment, a stricter policy, sometimes even the outright withdrawal of that very permission. An auditor who only has today's state to go on could reasonably find the earlier decision unjustified - even though it followed every rule in force at the time it was made.
The question that matters isn't whether the decision would still hold today. It's whether you can still show what it was based on, even if that basis no longer exists in its original form.
A memory that keeps the context, not just the files
Answering correctly means keeping, for every piece of data, more than its content: a stable identity over time, the sequence of its successive states, and the context that went with each one - the policy in force, the rights granted, the person who approved it, where the information came from. That is the kind of structured, verifiable memory KARL Core adds on top of existing systems: it replaces neither the ERP, nor document management, nor backup, but keeps their successive states linked and retrievable years later.
Changes are recorded in a journal that chains and signs itself over time, making it possible to verify afterwards that no step was quietly altered or removed. The question the audit team asked stops being an exercise in collective memory and becomes a simple lookup.
